General Terms and Conditions
These general terms, and conditions apply to bookings of activities, hotel rooms,, and conference facilities at Villa Soludden. By making a booking, you agree to these terms. Please read these terms carefully.
1. Booking, and Confirmation
A booking is valid when confirmed by Villa Soludden via email or other written communication.
For bookings of conference facilities, a signed agreement is required, and the booking is considered binding when both parties have signed it.
2. Cancellation, and Changes
Hotel Rooms: Cancellations can be made without charge up to 36 hours before arrival. For later cancellations, the full cost of the first night will be charged.
Conference Bookings: We follow the Swedish Hotel, and Restaurant Association’s cancellation policy. For cancellations made later than 8 weeks before the conference/event, 50% of the agreed price for all-inclusive packages, full board, half board, conference rooms, meals, or other packages will be charged, to the extent that the facilities cannot be resold. For cancellations made later than 6 weeks before the conference, 75% of the agreed price will be charged, and for cancellations made later than 4 weeks before the conference, 100% will be charged, to the extent that the facilities cannot be resold.
3. Payment
Liability/Payment Terms: Payment shall be made in accordance with the agreement made at the time of booking. For pre-booked hotel rooms, a payment or guarantee for the entire stay is required upon arrival. Conferences: Invoice with 10-day payment terms. No later than 2 weeks before the event, the customer, and supplier shall agree on the final number of persons to be invoiced. The invoice is usually sent 2 weeks before the conference, and is usually due 2 weeks after the conference. For confirmation of the booking, a confirmation email from the customer with the customer’s billing information or digital signature via SCRIVE is required. For conference bookings, payment may be required in advance depending on the size, and nature of the booking.
4. Deviations, and Force Majeure
The hotel reserves the right to change the terms of the booking in the event of force majeure, such as natural disasters, strikes, or other unforeseen events that make it impossible for the hotel to fulfill the booking. In such events, the hotel will notify the customer as soon as possible, and offer alternative solutions or a refund of any advance payments.
5. Use of Facilities
For conference facilities, the facility shall be used in accordance with the purpose agreed upon at the time of booking. The customer shall be liable for any damage to the facility or equipment caused during the conference.
6. Confidentiality, and Conduct
All guests, and conference participants must follow the house rules established by the hotel to ensure a pleasant stay, and working environment for everyone.
7. Personal Data
The hotel processes the customer’s personal data in accordance with applicable data protection legislation (GDPR). The data is used only to carry out, and administer the booking, and to communicate with the customer when necessary.
8. Liability
The hotel is responsible for providing the services booked, and for ensuring that the rooms are in good condition upon arrival. The customer is responsible for their own safety during their stay, and for any damage to the hotel’s property caused by the customer or their guests.
9. Disputes
Any disputes arising in connection with these terms shall in the first instance be resolved through negotiations between the parties. If a dispute cannot be resolved voluntarily, the dispute shall be settled by a Swedish general court.
